# Work reports for your clients, out of bexio

## One clean monthly hours report per engagement, built from your bexio time – with the hour balance against budget and the effort per client service, as a client-ready PDF. {#pro-mandat-ein-sauberer-monatlicher-stundenrapport-aus-deinen-bexio-zeiten-mit-stundensaldo-gegen-budget-und-aufwand-pro-tatigkeit-als-kundentaugliches-pdf src=96753614}

## The report your clients expect {#der-rapport-den-deine-kunden-erwarten src=fb6e073f}

^^ Client-ready

A work report – an hours report, a timesheet report, the monthly report to the client – holds exactly what matters for billing and for being straight with your client: clearly structured, with none of the internal noise. Instead of exporting project hours from bexio by hand and adding them up in Excel, you pick the engagement and the period and the finished report is in front of you.

**What belongs in a good client report:**

- The hours worked per engagement, read out of bexio time tracking
- Billable, non-billable and internal hours told apart
- Internal hours hidden from the client's copy when you want them hidden
- Effort per client service, rather than one single total
- A consistent, client-ready PDF layout with an optional disclaimer

## The month against the whole engagement {#der-monat-im-verhaltnis-zum-ganzen-mandat src=023a6e64}

^^ An example month

The report always shows the month you picked in the context of the whole engagement. A real example from the demo report for September 2026:

:: 23.50 h | Report total (month)
:: 1500.50 h | Overall total (since the start)
:: 90.5 % | Budget used

The report total is the effort for the month you picked – exactly what you are billing. Beside it stand the engagement's total since it began and how much of the hour budget has gone, so that a single month never stands on its own. Inside the month every client service – consulting, development, design, project management, testing – is reported separately, and non-billable effort stays visible instead of disappearing into the total.

## The hour budget and what is left {#stundenbudget-und-verbleibender-saldo src=6ed8de5f}

^^ Budget

Record an hour budget and mReport measures the billable hours against it as they come in – with a bar showing what percentage of the budget has gone. There are no surprises at the end of the engagement: you see early when one is running past its frame, and you can talk about a change order in time rather than at the final invoice.

For the budget and the balance, billable hours can be counted separately from non-billable and internal ones – the basis for monthly billing, for change-order conversations, and for the question of whether an engagement carries itself at all.

## A detail table, not a black box {#detailtabelle-statt-blackbox src=f3ccea0d}

^^ Traceable

When a client asks, a total is no help; the individual line is. The report lists the underlying entries with date, text, client service, work package and the person responsible – searchable and filterable, so you can answer a question in seconds instead of going looking in bexio.

You choose the period freely: a month for the current billing run, a year, or a span of your own covering exactly the phase under discussion. How many work reports your plan includes is on the [pricing page](/en/pricing/).

## The work report as a PDF {#der-leistungsrapport-als-pdf src=83396d56}

^^ Ready to send

The same figures become the work report as a [PDF for your client](/en/pdf-export/) – with your company logo, sender and recipient, the period, charts by client service and the table with the overall and report totals. The document is ready to send, or to attach to the monthly invoice as evidence; there is nothing to rework.

Your bexio data is only ever read, never changed – how we handle it is set out in the [privacy policy](/datenschutz/).

## Which teams this pays off for {#fur-welche-teams-sich-das-lohnt src=d04e935a}

^^ From practice

### Agencies and studios

Several engagements running at once, each with its own block of hours. The work report shows per client how much of the budget is still open – and gives you the ground to stand on for the change-order conversation, before the block runs out.

### IT support and maintenance

Recurring maintenance contracts with a block of hours: the client can see what the hours went on, instead of receiving nothing but an invoice total.

### Consulting and professional services

Services billed monthly. The effort per client service shows where the time actually goes – internally for steering, externally for transparency.
